The meeting will be called to the order, beginning with the pledge of allegiance.

Approval of Agenda

So that there is agreement between board members on the agenda, and the amount of time spent on the meeting, the board shall vote to approve an agenda for the meeting. To the best of its ability, it will follow that agenda, and allow for the chair to move the board through the agenda as specified.

Review October Financial Statements

The Financial Report was discussed, and we reviewed the month of October understanding that QBE for the last 3 months was reduced due to the initial over payment in July 2020 we received $ 365,282.

Healthcare costs were negotiated down from $530 for Kaiser employee coverage to $525.08 and $633.18 Preferred Coverage Rate respectfully, for Kaiser coverage as we requested a pandemic rate relief discount and was given that discount from Kaiser. Last years rates were $ 519 employee and $ 658.

We reviewed the adjustment to the computer purchased by credit and debit adjustment to expense for September and debit to October Expendable Equipment.

We also looked at the Nutrition claim reimbursement in comparison to the expense and we have noticed some declines in participation due to the State of Georgia provide Snap benefit payments to free & reduce students. The claim reimbursement was $5,391 and the expenditure for the month was $ 4,293 therefore we are covering the expenditures even though participation is down substantially.

The question was asked is the Nurse a contract item or an employee open position. I will provide the information to our school leader.

Regarding Facilities we need to look at the contract to determine how we handle full shut down of the facilities until 2021. Discussion around what are we paying for now that Covid-19 has caused the school to become 100% virtual specifically what contract services are being provided on an ongoing basis.

Review Draft Budget

The Budget Amendment has to be tabled for the month of October and will be based on the official certified enrollment that we will receive from DCSD for the month of November via QBE funding and amendment will be presented at the next Finance Committee Mtg. for the month of December

Other Business: Vendor Ackerman

Request for quote regarding Ackerman, for last year is $25,000 regarding Ackerman camera and security and then the additional $16,000 is for this year’s Grant. 

We will follow our procurement process and attempt to obtain 2 quotes in 24 hours on November 18, 2020.

Can we request a Special Call meeting for a vote to determine how we move forward with making sure we can make this purchase by Friday November 20, 2020.

Discussed having 3 goals for the finance committee prior to the meeting.
