DEVELOPMENT COMMITTEE MEETING AGENDA & NOTES FOR MINUTES MEETING DATE: JANUARY 17, 2020

I) Development Office Administrative Updates and Admin Projects

Discussed Progress of Action Plan Projects - Development Policies, Grants Calendar, Cases for Support

Strategic Priorities: Development & Administration to review & prioritize goals from most recent strategic plan to work toward until the next plan is complete. • Request: Outline for Development Committee DPA’s Grant Opportunities for 2020-2021 based on Current Strategic Priorities & Programs. (Requested 12.2019) o TW confirmed/planned priorities with Head of School. Identified/revised priorities discussed with Development Committee 1.17.20.  3 Focus Areas per Estes: • Technology (i.e. AVC, School Technology Needs) • Annual Giving (i.e. Focus on School progress) • Student Life Programs (i.e. supporting Cocurricular Activities, Leadership Development & Service Learning)
o Next Steps: Goal Setting-  Goal Setting complete for Technology on 1.13.20, Annual Giving plan development begins February, to be completed by March 20th for a Spring Solicitation. Student Life planning will begin on 1.21.20. M. Vassell to assist with identifying the why’s and problems we want to solve through these activities.  Strategic Planning - Per Estes- He will work on this over the holiday break. TW reviewed development priorities in expired plan 12.2019. To discuss at 1.6.19 1:1 Mtg. (Moved back to 1.21.20)

FUNDRAISING POLICIES: Board approval expected January meeting.

FUNDRAISING PROCEDURES: Plans for roll-out on January 29th of policies to administrators and lead teachers for implementation throughout DPA, supporting Development efforts that lay the foundation for a culture of philanthropy at DPA. The revenue generated from the implementation of plans shaped by these policies, will enable DPA to maintain as well as improve, the operations and educational programs of the school. These policies also highlight the opportunities for DPA to connect with the larger community through online, direct mail pieces and other updates that communicate the school’s mission and accomplishments.

II) Development & Marketing Campaigns & Projects

PARTNERSHIPS:  Optimize The Vizion – (Student Life Program Partner) 2020 MOU Signed for Sports Trip Mentoring Program  OutTeach – 2020 Partnership Meeting for Garden Support and Expansion (Student Life)  YouthCan Foundation – 2020 Partnership Meeting for Mentoring Services and Uniform Vendor Relationship (Student Life)  Chick-fil-A – 2020 Corporate Kickback Program Partnership MOU signed with Wesley Chapel Location. (General Development Partner focused on Student Life Program)  Arabia Mountain- (MOU - AVC Program Partner)

Field Trip Forms: Development is also testing a donor acquisition strategy with the 1st grade Center for Arts field trip forms.  This is a full DPA permission slip that also gives parents the options to support another students attendance with a donation, through the DPA Foundation. UP NEXT: Ways to Give Form(s), DPA Uniform Shop, and other revenue generating or donor acquisition forms.

ANNUAL CAMPAIGN DEVELOPMENT: February 3rd – March 20 Understanding Donors (January) Goals is to understand donors’ motivations for giving, capture their contact information, segment our donor base, and attract new donors across segments.
Stories That Stick: Marketing and Communications for Annual Campaign (January- February) Develop compelling stories about our school, scholars, partnerships and impact that reach, affect, and motivate giving from donors. Developing the Annual Appeal (February) Build out of multiple campaigns, to be carried out throughout the school year to cultivate donor relationships, and open up two-way communication with advocates, donors, and volunteers in ways never before possible. The course will cover new trends in appeals and help participants learn to integrate social media tools and events into appeals. Annual Giving Planning (March) After it’s understood fully why our constituents give, what makes our messages most impactful, and how to maximize the end of the year for individual giving, this information will be built into an annual giving plan. An intentional plan that allows me to stay ahead of trends and to engage donors through a full array of fundraising channels (digital, traditional, in-person).

GARDEN OF HOPE • 3 Year Garden of Hope Program Plan under committee review. Garden Committee and Partnerships (PAHL, Out Teach, Captain Planet, Etc.), Garden Funding Opportunities and Options for Outdoor Classroom Expansion discussed with Development Committee • REQUEST: Full Board Meeting Preparation- Garden of Hope Project Summary which includes: Notes on Project Phases, Overall Why of the Project, Goals and any Risks, Plans through December 2020 once available. (Attached) • Next Steps: Attend Garden Committee Meeting with Out Teach partnership presentation 1.21.20
